QR Entry Passes
Instant, paperless check-in for every devotee at your event
How It Works
Every devotee who registers for an event automatically receives a unique digital QR pass. This pass is displayed in their browser and can be saved or screenshot. At the event venue, a Scanner volunteer opens the Scan QR page on their phone and points the camera at each devotee's pass — the system verifies the QR, marks the devotee as checked in, and updates the live count instantly. No paper passes, no manual lists.
1
Devotee Registers
A devotee fills in the public registration form at /register/<event-id>. On successful submission they are shown their QR entry pass immediately on screen.
2
QR Pass is Stored
The pass link (/pass/<unique-qr-code>) remains accessible at any time. Devotees can bookmark it or screenshot it for offline use — the QR works from screenshots too.
3
Assign Scanner Volunteers
Admin assigns the Scanner role to specific volunteers under Admin → Users. Scanners only see the scan interface — no admin features are visible to them.
4
Arrive at Event
On the event day, Scanner volunteers open /scan on their phones. The camera activates and is ready to read QR codes from devotees' phones or printed copies.
5
Scan & Check In
The scanner points the camera at the devotee's QR pass. The system validates the code and marks the devotee as checked in with a clear green confirmation message.
6
Live Count Updates
Every check-in is reflected immediately on the Live Dashboard — the checked-in count increments in real time for admins monitoring the event from any device.

Pro Tip
Pro Tip: Before the event, do a test scan with one dummy registration to ensure scanner volunteers are comfortable with the flow. Assign at least 2 scanner volunteers for events with 100+ registrations.
Frequently Asked Questions
No. Registration is completely public. A devotee fills in their details, submits, and immediately receives their QR pass — no login required.
No. Each QR can check in a devotee only once. If the same code is scanned again, the system shows an "Already checked in" message and rejects it.
They can show a screenshot of the QR — the scanner app reads QR codes from screenshots just as well as from a live screen.
No. Assign volunteers the Scanner role in Admin → Users. They can only access the /scan page and see check-in results — nothing else in the admin panel.
The scan page is a lightweight PWA. As long as the scanner's phone has a basic data connection, check-ins will register. The pass itself works offline from a screenshot.
The system does not block duplicate registrations by default (to allow family members to register separately). Each registration gets its own unique QR pass.
The primary check-in method is QR scanning. Admin-level users can view the full registrant list from the event dashboard and manually mark attendance if needed.
